A PRACTICAL CHECKLIST

If it is not progressing, change how you ask.

This page is for anyone who has asked to end an Aroma360 plan and does not yet have a clear answer. It is general guidance that would apply to any retailer: what to establish first, what to put in writing, what to ask for specifically, and what routes exist if you are still stuck. What should you do if an Aroma360 cancellation is not progressing?

Move the conversation into writing and be specific about what you are asking for. A phone call leaves no record; an email does. Establish first whether your account is a recurring subscription or a financed purchase, because the two have different exit routes, then ask for written confirmation of the outcome and a closure date. If the account involves a finance provider, that company is separate and may need to be contacted directly.

  • Put every request in writing and keep dated copies of what you send and receive.
  • Ask for written confirmation of cancellation, including the effective date.
  • If a finance provider is involved, raise balance questions with them separately.

THE SEQUENCE

Seven steps, in this order.

The order matters. Establishing what you hold before you ask to end it is what stops the conversation going in circles.

  1. Establish which arrangement you are on

    A recurring oil subscription, a prepaid annual plan and a financed bundle are three different things with three different exit routes. Asking to "cancel" a financed purchase is the wrong request and will not get a useful answer. Our financing page walks through how to tell which you hold.

  2. Gather your dates and figures

    Enrollment date, delivery date, last charge date, amount, and the merchant name shown on your statement. Most published terms are measured from delivery or from the billing date, so these settle most questions immediately.

  3. Send the request by email, not by phone

    A call leaves no record of what was agreed. Email creates a timestamped trail that you keep regardless of what happens next. If you do speak by phone, follow up the same day with an email summarising what was said.

  4. Ask one specific, answerable question

    "Please confirm in writing whether my account is a subscription or a financed purchase, what is outstanding, and the exact steps to close it." Vague requests get vague answers; a specific question is harder to answer vaguely.

  5. Ask for written confirmation and an effective date

    Verbal confirmation is not a record. Ask for an email confirming that the account is closed, the date it takes effect, and whether anything remains outstanding. Keep it.

  6. If a finance provider is involved, contact them too

    Where a credit agreement exists, the finance company is a separate business with its own obligations to you. Questions about balances, payoff figures, payment history or default status may need to go to them directly rather than to the retailer.

  7. Know the routes that exist if you are still stuck

    If you believe you are being charged for something you cancelled, your bank or card issuer can explain your dispute options and any time limits that apply. Consumers in the US can also raise complaints with the Better Business Bureau, their state Attorney General's office, or the Consumer Financial Protection Bureau where a credit agreement is involved.

Keep everything: emails, order confirmations, statements, and notes of any call with the date and the name of who you spoke to. If a dispute runs on, a dated written record is the single most useful thing you can have.

Oil subscription minimum 30 days

Customers enrolled in an Oil Subscription or Scent Accents are required to maintain an active subscription for a minimum of 30 days.

Cancelling before the minimum Repay the discount

A customer who cancels after delivery but before the minimum term is required to repay the promotional discount in full, based on the net total of the order, and is responsible for return shipping.

Annual plan mid-term exit Not available

Aroma360 states that prepaid subscriptions are non-refundable and cannot be cancelled mid-term. Deliveries can be paused by contacting their customer service team.

Exit after 30 days Wind-Down Process

To exit after the first 30 days but before the term completes, the customer pays an early termination balance equal to the MSRP of the diffuser and oils delivered to date, minus payments received to date. This can be settled as a lump sum or by continuing the original payment schedule.

Oils you never received Deducted from the balance

When calculating an early termination balance, Aroma360 states that the value of undelivered products is deducted from the consumer's outstanding financed balance. In other words, you are not charged for oils that were never shipped.

Pausing deliveries Does not count toward term

Pausing or deferring oil shipments does not count toward satisfying the up-to-36-month term. Aroma360 states such interruptions may extend the term and may constitute a default under the financing agreement.

Skipping a delivery 2 consecutive, 6 per year

Customers may skip up to two consecutive deliveries. The third consecutive month is processed and charged automatically and cannot be skipped. The cycle may repeat up to three times in a rolling 12-month period, for a maximum of six skips per year.

If a payment is missed Fees and suspension

Aroma360 states that it may suspend or terminate a subscription where any amount is due but unpaid, and that a delinquent account will be charged fees incidental to any chargeback or collection, including collection fees. If a payment method is no longer valid at renewal, they reserve the right to withhold shipments until it is valid, or to delete the account.

How do I cancel if the online portal will not let me?

Send the request by email instead so there is a written record, quoting your order or account number, the enrollment date and the email address on the account. Ask for written confirmation of closure and an effective date. If the account details are not being recognised, include the merchant name and amount exactly as they appear on your bank statement, since that identifies who is taking the payment.

They said it was cancelled but I have nothing in writing. Is that enough?

It is worth getting it in writing regardless. Ask for a short email confirming the account is closed, the effective date, and that no further charges will be made. That record costs nothing to obtain and is the thing you would rely on if a charge appears later or a balance is disputed.

Can I dispute the charges with my bank instead?

Your bank or card issuer is the right party to explain your dispute options, what evidence they need and any time limits that apply — those vary by issuer and by card network. It is generally worth raising it with the retailer first and keeping that correspondence, because a dispute usually goes better with a record of what you asked for and when.

What if a finance company is involved?

Then two businesses are involved and they are not interchangeable. The retailer handles the goods and the plan; the finance provider handles the balance, the payment schedule and anything reported about it. Questions about payoff figures, missed payments or default status usually need to go to the finance provider directly. Our financing page explains how to work out whether one is involved.

Where can I escalate in the US?

The Better Business Bureau accepts complaints about businesses, your state Attorney General's office handles consumer protection matters, and the Consumer Financial Protection Bureau accepts complaints where a credit or financing agreement is involved. Can Aroma Paradise cancel it for me?

No. We are an independent company with no affiliation to Aroma360, no access to their systems and no ability to view or change an account you hold with them. Only they, or a finance provider if one is involved, can do that. What we can do is explain what their published terms say and sell you oils with no plan attached.
